Quote Follow-Up Email: 3 Templates for Sign Businesses
Table of Contents
Many of the jobs you lose, nobody says no. The customer goes quiet, the quote sits in a sent folder, and the job goes to whoever called back. Three short follow-ups, on day 2, day 7 and day 21, give you a better chance of winning those jobs back and make you easier to buy from. The three emails are below, ready to copy.
SwiftSignQuote. The done-for-you automation platform for sign and print businesses: your customers price, order and pay on your own website, and we connect it all for you.
We see the same pattern in our own sales, so this is written from both sides of the quote. If you searched "quote follow up email", the templates start at the third heading, "What is the best quote follow-up email sequence for a sign shop?".
Why do customers go quiet after a sign quote?
Rarely because of price. Usually because:
- The sign is one item on a long list.
- They are waiting on the landlord, the council, the boss or the budget.
- They have two other quotes and cannot see the difference.
- The quote raised a question about size, install or artwork that they never asked.
None of those is a no. Each one is a reason to follow up.
In our own sales, 71% of the deals we lost ended in no decision: the prospect went quiet and nobody said no. One sign business owner told us the same about his own jobs: most of the work they lose, the customer just never goes ahead. Silence is a competitor too.
How do you follow up on a quote request?
Send three short emails: day 2, day 7 and day 21. Two days for the first one is long enough for them to read the quote and short enough that they still remember asking.
Why go as far as three weeks? Because good decisions take time. In our own sales, the median was 15 days from offer to close (range 6-87 days). A follow-up in week three still lands inside the window where our own deals closed.
What is the best quote follow-up email sequence for a sign shop?
These three. Copy them, change the bits in brackets, and send them from a shared inbox so anyone on your team can pick up the reply.
Day 2: check it landed
Subject: Your quote for [job] from [business]
Hi [name],
Just checking the quote for [job] came through okay. I've attached it again here.
If anything doesn't match what you had in mind, like the size, the material or the install, reply and I'll fix it the same day.
[Your name]
[Phone]
Why it works: no pressure, and it gives them an easy way to raise the question they did not ask.
Day 7: give them a reason to decide
Subject: [Job]: install dates and one quick question
Hi [name],
We're booking installs for [weeks]. If you'd like [job] done before [their opening, event or deadline], we'd need the go-ahead by [date] to order material and send you a proof.
Is anything holding it up that I can help with? Landlord approval, artwork, or a second option at a different size?
[Your name]
Why it works: the deadline is real (your lead time), not invented, and it offers to remove the blocker instead of pushing.
Day 21: close the loop
Subject: Should I close off the [job] quote?
Hi [name],
I haven't heard back on [job], so I'll assume the timing isn't right and close it off on our side.
If it's still on, just reply "still on" and I'll pick it straight back up. The pricing holds until [quote expiry date].
Thanks either way,
[Your name]
Why it works: it gives permission to say no, so you get an answer either way. A clear no frees your time. A "still on" restarts the job.
What should a quote follow-up never do?
- Offer a discount. It teaches customers to wait for the second price. Sell the scope, the date and the proof.
- Say "just checking in" with nothing new. Each email needs one useful thing.
- Stop after one. Three over three weeks is polite. One is forgetting.
- Live in one person's inbox. It stops when that person is sick, busy or on leave.
Can quote follow-up run automatically for a sign business?
Every enquiry and quote on a SwiftSignQuote store lands on one board with its message thread, so anyone on your team can see what is waiting and nothing gets lost. Quiet-quote follow-up, using your own templates and timing, is calibrated for you during onboarding.
The bigger win is needing fewer follow-ups at all. When customers price, pay and order routine jobs on your own website, there is no quote to chase. See how instant quotes and web-to-print on your own website work, or See it live on the demo store.
If your quotes are slow to go out in the first place, start with sign quote turnaround time. If you are the only one who can quote, read get quoting off your plate. The three templates work for any sign or print business: change the brackets, keep the timing. We serve customers in Australia, New Zealand, the UK, Canada, Germany and the US.
Frequently Asked Questions
How soon should you follow up on a quote?
Two days after you send it. That is long enough for the customer to read it and short enough that they still remember asking. Follow up again on day 7 and day 21.
How many times should you follow up a sign quote?
Three times over about three weeks: day 2 to check it landed, day 7 to give a real reason to decide, and day 21 to close the loop. Good jobs often take two weeks or more to decide, so one email is rarely enough.
What should a quote follow-up email say?
One useful thing each time. Confirm the quote arrived and offer to fix anything that does not match, then give a real date such as your install booking or material lead time, then ask politely whether to close the quote off.
Should I offer a discount when a customer goes quiet?
No. A discount in a follow-up teaches customers to wait for a second price. Many quiet customers are busy or waiting on someone else, so answer their question, offer a proof or a date, and keep the price.
Why do customers go quiet after a quote?
Usually not because of price. They are busy, waiting on a landlord, council or budget, comparing quotes they do not understand, or holding a question they never asked. None of those is a no, which is why a follow-up works.
Can SwiftSignQuote follow up quotes for me?
Quiet-quote follow-up, using your own templates and timing, is calibrated for you during onboarding. Every enquiry and quote on a SwiftSignQuote store already lands on one board with its message thread, so nothing gets lost.
